ProcureTEX 2025: Terms & Conditions

These Terms and Conditions will be legally binding on all registered attendees of ProcureTEX 2025 upon ticket purchase and registration.

The event (“Event”) is organised by 1) Keelvar, Unit 2B, 6 Lapp's Quay, Centre, Cork, Ireland, T12 PPX3, 2) Beroe, Inc. 2054 Kildiare Farm Road Cary, North Carolina 27518 US and 3) ZipHQ, (“Organisers”, “we”, or “us”).

These Terms and Conditions (the “Terms”) apply to all attendees of the Event, taking place at Kings Place, London on 17 September 2025. By registering, purchasing a ticket, or attending the Event in any capacity, you (the “Attendee”, “you”, or “your”) agree to comply with these Terms.  

1. EVENT REGISTRATION  

1.1.      Ticket Purchase and Payment  

(a)       Submission of an online registration via Ticket Tailor and completion of payment via Stripe constitutes a confirmed ticket and intent to attend the Event.  

(b)       Tickets are only valid upon receipt of full payment.  

(c)       The Organisers reserves the right to deny admission to any Attendee who has not paid in full or who violates these Terms.  

1.2.      Refund and Cancellation Policy  

(a)           You may cancel your ticket and request a refund within 14 calendar days of the original purchase date.  

(b)           No refunds will be issued for any tickets purchased 14 days or fewer prior to the Event.  

(c)       Refund requests must be submitted in writing to events@procuretex.com  

(d)       Refunds will be processed to the original payment method and may take up to 14 days to be issued.  

(e)       Cancellation of your ticket does not automatically cancel your travel or accommodation. These remain your sole responsibility.  

1.3       Substitutions  

(a)        Ticket transfers to a colleague are allowed without additional charge.  

(b)        All substitution requests must be made in writing to events@procuretex.com and must be received no later than 48 hours before the Event start time.  

(c)        Shared badge usage is strictly prohibited. Only the individual named on the registration may attend unless properly substituted in advance.  

2. EVENT MODIFICATIONS OR CANCELLATION  

2.1       Force Majeure  

In the event that the Organisers are unable to deliver the Event due to reasons beyond its reasonable control (e.g. acts of God, pandemic restrictions, venue unavailability, or government actions), the Organisers reserve the right to cancel, reschedule, or convert the Event into a virtual or hybrid format without liability. Refunds may be issued at the discretion of the Organisers.  

2.2       Programme Changes  

(a)     The Organisers reserves the right to make changes to the Event agenda, speakers, content, venue, and timings at any time without notice.  

(b)     The Organisers shall not be held liable for any losses or damages arising from such changes.  

3. ADMISSION, ACCESS & CONDUCT  

3.1       Badge Policy  

(a)            All attendees will be issued a named badge upon arrival, which must be worn at all times within the venue.  

(b)            Badges may include RFID or QR code technology and may be scanned by sponsors, exhibitors, or Event staff to record attendance and facilitate information sharing (see section 5).  

3.2       Access Control  

(a)            Entry may be refused or revoked at the Organisers’ sole discretion in cases of non-compliance with these Terms, disorderly conduct, or actions that may compromise the safety or experience of others.  

(b)            No one under the age of 18 will be permitted entry to the Event.  

4.         PAYMENT TERMS  

4.1       By registering, you confirm that you are authorised to use the payment method provided and agree to pay all applicable charges and taxes associated with your attendance.  

4.2       Payment information provided through Stripe will be securely processed. The Organisers are not liable for any third-party data breaches.  

5. DATA SHARING AND PRIVACY  

5.1       Personal Data

(a)        All personal data supplied by the Attendee for the purposes of the Event (“Personal Data”) will be collected, stored, and used by Organisers in accordance with applicable data protection laws. (b)        The Attendee warrants that all Personal Data provided to Organisers has been collected and shared in compliance with all applicable data protection laws. The Attendee further confirms that it has obtained all necessary consents or provided all required privacy notices to allow Organisers to receive and use the Personal Data for the purposes of the Event.

5.2       Sponsor Access via Badge Scanning  

(a)            When you allow your badge to be scanned by an Event sponsor or exhibitor, you consent to your registration details being shared with that entity. This may include your name, job title, company, and contact information.  

(b)            Use of your data by sponsors is governed by their individual privacy policies. The Organisers are not responsible for how sponsors handle your data after scanning.  

5.3       Marketing Communications

By registering, you may receive Event-related communications including session updates, logistical notices, or post-event surveys. You may opt out of promotional emails at any time.  

6. MEDIA CONSENT AND RECORDING  

6.1       Photography and Filming

(a)            The Event will be photographed, audio recorded, and filmed for promotional, educational, and archival purposes.  

(b)            By attending, you grant the Organisers and its partners the right to use your image, voice, and likeness (collectively, "Image") in any and all media worldwide, in perpetuity, without compensation.  

6.2       Use and Ownership  

(a)            All recordings and photos taken by or on behalf of the Organisers are the sole property of the Organisers  

(b)            You waive any rights to review, approve, or object to the use of such materials.  

7. SECURITY AND SAFETY  

7.1       The Organisers may implement security measures deemed appropriate to protect Attendees.  

7.2       All Attendees must comply with venue security instructions and screening procedures.  

7.3       Unattended property may be removed or disposed of without liability.  

7.4       Prohibited items include but are not limited to weapons, illegal substances, and hazardous materials.  

8. HEALTH & SAFETY COMPLIANCE  

8.1       All Attendees must adhere to health and safety protocols in place at the time of the Event. These may include hygiene measures, distancing, or health declarations depending on local guidance.  

8.2       The Organisers reserve the right to refuse admission to anyone who does not comply.  

9. LIMITATION OF LIABILITY  

9.1       Attendance at the Event is at your own risk. The Organisers are not responsible for any personal injury, illness, or loss/damage to property incurred during the Event, except where required by law.  Nothing in these Terms shall exclude liability for death or personal injury caused by Organiser’s negligence during the Event, for fraud or fraudulent misrepresentation or for any other liability which cannot be excluded by law. The maximum aggregate liability of the Organisers for any claims arising out of or in connection with the Event will not exceed the amount paid by the Attendee for their ticket.  

9.2       Under no circumstances shall the Organisers be liable for indirect, special, consequential, or incidental damages, losses or damages however arising under the Terms.  

10. INDEMNITY  

You agree to indemnify and hold harmless the Organisers and its officers, agents, employees, and partners from any claims, losses, damages, or liabilities arising from your attendance or conduct at the Event.  

11. GOVERNING LAW AND JURISDICTION  

11.1     These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
